II. Job Description
Vision of Role
The Executive Administrator is an executive role primarily responsible for performing a variety of support functions while working alongside the Executive Director. The Executive Administrator should handle several principal duties, all focused on making time, information, and decision processes more effective. This role requires high level administrative support to the ED and detailed planning through organized systems to free up the ED to focus on strategic planning of the organization’s growth. The Executive Administrator will support the ED by researching and gathering information in order to provide feedback that ensures the ED has the information needed to respond to inquiries quickly and make sound decisions.
Candidates should be comfortable assessing and prioritizing a multitude of tasks and inquiries. They should be eager to protect both the ED’s time and organization’s resources. The Executive Administrator anticipates problems and functions as an extra set of eyes and ears for the ED and executive team. An Executive Administrator role requires a certain level of humility, maturity, and situational sensitivity.
The ideal candidate will be someone who can passionately support our mission of supporting survivors but with a focus on executive-level advising/scheduling and interdepartmental communication.
The Executive Administrator enjoys coordinating intentional events and maintaining stakeholder relationships, and is naturally hospitable and organized. This role creates a fun and warm environment for the staff (internally) and has an inviting and gracious attitude towards the community who engages with The Net (externally).
III. Major Areas of Responsibility
A. Direct Report to the Executive Director
Improve current processes and coordinate organizational procedures for optimized efficiency and productivity
Develop and implement an internal communication and engagement strategy best suited to communicate key organizational information to staff and Board of Directors.
Draft internal and external communications on behalf of ED to keep key constituents informed.
Partner with senior leadership to build a strong team culture and a safe, supportive and nurturing environment that fosters team productivity and excellence.
Plan and manage org-wide meetings or retreats including creating agendas and any presentation materials required
B. Administrative Duties
Oversees & synchronizes the Executive Director’s work calendar, scheduled events, meetings, press inquiries, and personal calendar. Will perform admin tasks such as expenses and occasional personal errands
Attends (some) meetings alongside ED to take notes and ensure follow through on tasks
Protects the ED’s calendar and clears an optimal path for ED to focus on growth and stakeholder relationships.
Coordinates community events and speaking engagements for Executive Director and/or represents the ED and organization at key meetings where needed
Assists Executive Director with relationships including donors, board members, board related events/meetings and advisory board members.
C. Events
Oversee organization of any special events and executing the Executive Director’s vision for events.
Planning large-scale fundraising events. This includes:
Managing event details and all aspects of the event including proceeding communication, rentals, vendors, and event management
Coordinating with vendors and stakeholders during the event planning process
Being the point person for the planning, management, and execution of events
Oversees and delegates event set-up, tear down, and follow up processes including partnering with the Communications Director for post-event communications IV. Qualifications + Company Culture

Oversee donor follow-up process
Ensure donors are thanked
Run donor reports and execute thankfulness systems
Document donor follow-up and information
Coordinate Staff events & Team Building + Office manager duties
Loves hospitality and hosting
Oversee staff celebrations
Help execute staff retreats and dinners
Ensure office supplies, materials, and equipment are accessible for everyday use and for events
IV. QUALIFICATIONS
Bachelor’s Degree or higher
Communication: An Executive Administrator regularly works with team & board members of all levels, so strongly developed written and verbal communication skills are crucial.
High attention to detail, administratively gifted, organized and efficient
Excellent problem solving skills to clear a path for the ED
Strategic thinker who can be an advisory and confidant to the ED
Ability to work independently, exercise judgment, and maintain confidentiality
Ability to perform and prioritize multiple tasks
Has a systematic approach to follow through
A self-motivator, eager to grow, a fast learner
Willing to work outside regular office hours when necessary
Ability to operate effectively in a very fast-paced environment
Friendly, engaging, and gracious posture/correspondence towards Net supporters, donors, customers, and board members
Hospitable and able to create a warm and welcoming environment at all events, both big and small
Mature Christian adult with personal integrity, character, and of good reputation
